... - Manage the reception area, providing a professional greeting and escorting clients smoothly.
- Handle incoming phone calls and distribute facilities requests to ensure appropriate expectations are established and met.
- Maintain optimal inventory levels for all office supplies and pantry items.
- Participate in and assist with the planning, co-ordination, and execution of various corporate events.
- Co-ordinate between internal users and relevant teams for workstation movements, including new hires, transfers, internal moves, or terminations.
- Perform daily inspections and walkthroughs to ensure all facilities remain clean, operational, and effective.
- Plan, co-ordinate, and monitor the execution of routine and ad-hoc office maintenance works.
- Handle immediate facilities issues and complaints regarding air conditioning, lighting, and office furniture.
- Liaise closely with the accounts payable team to ensure all submitted invoices are processed in a timely manner.
- Assist with preparing, managing, and forecasting the annual facilities budget, monitoring daily operational spend.
- Monitor the performance of external vendors to ensure deliverables meet the firm's strict requirements.
- Prepare comprehensive facilities reports for management review on a bi-weekly, monthly, and quarterly basis.
skills & experience required.
- Proven experience in facilities management, corporate reception, or office administration, ideally within financial services or a multinational corporate environment.
- Excellent interpersonal and communication skills to interface effectively with internal stakeholders and external vendors.
- Strong organizational skills with the ability to handle budgets, vendor deliverables, and ad-hoc maintenance requests simultaneously.
- Proficient in English, Mandarin, and Cantonese to support a diverse, multilingual corporate environment.
- A proactive, problem-solving mindset with high attention to detail.
