The successful candidate will work closely with fee earners and executive assistants, playing a critical role in supporting day-to-day operations.

Manage calendars and diaries for partners and fee earners, including scheduling appointments and arranging intensive international travel through the firm's dedicated travel provider.
Screen, prioritise, and manage incoming emails and post, developing efficient internal administrative systems.
Handle all incoming mail and courier deliveries, ensuring timely distribution, scanning, and electronic filing of critical documents while escalating urgent items to relevant fee earners or EAs.
Arrange internal and external meetings, including room bookings, catering, technology setups, and calendar invitations.
Assist with business development events and activities, including updating client contacts, event liaison, preparing name badges, and managing guest registration.
Support fee earners with the accurate and prompt processing of medical and expense claims.
Coordinate external post-delivery and manage courier services.
Assist with client and matter onboarding, conflict checks, and opening new legal matters.
Conduct online public registry searches including company searches, winding-up searches, and land searches.
Support EAs and fee earners with the end-to-end billing process by reviewing work-in-progress (WIP), producing draft bills, updating prebills, and preparing final bills.
Arrange client and office payments or transfers and assist with reviewing client balances.
Prepare detailed court bundles for the litigation team with an exceptional level of accuracy.
Handle ad-hoc administrative tasks, manage tight deadlines, and maintain electronic archiving in line with firm policy.
skills & experience required.
Minimum 2+ years of administrative or secretarial experience, preferably within a law firm or professional services environment.
Fluent English communication skills are required to interact confidently at all levels with global fee earners and regional clients.
Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
Strong organisational skills, excellent attention to detail, and a proven ability to work under pressure to tight deadlines.
A dedicated team player who is proactive in offering assistance, willing to collaborate closely, and prepared to provide cover for other EAs during peak workloads or absences.
