About the Role
This is more than a traditional secretarial position; it is an Executive Partner role supporting the CEO/Founder. You will serve as the organizational backbone, ensuring the Founder's focus remains on strategic initiatives and company ownership.
Success in this role requires a keen eye for detail, a strong sense of ownership, and the ability to think ahead and contribute meaningfully to the Founder's agenda.
Key Responsibilities
- Executive & Administrative Support: Provide comprehensive secretarial and administrative support to the CEO/Founder, including meticulous calendar management, intricate travel arrangements, and efficient expense processing.
- Proactive Planning & Logistics: Anticipate needs and potential issues, demonstrating initiative by preparing materials in advance, tracking critical deadlines, and maintaining a thorough understanding of project details.
- Communication & Documentation: Accurately record and elaborate on meeting minutes, including sensitive Board Meetings, ensuring precision and clarity. Serve as the primary point of contact for internal and external stakeholders, managing correspondence with professionalism, discretion, and responsiveness.
- General Office Management: Maintain an organized system for critical documents, ensure timely responses to urgent requests, and foster an efficient office environment for the Founder.
- Client Relations: Take ownership of high-touch client relations, including thoughtful logistical arrangements for key clients at business events and partner gatherings. Exhibit strong business acumen, common sense, and sophisticated client etiquette.
Required Experience & Attributes
- Financial Sector Experience: Proven experience working within a financial institution (e.g., banking, specialized finance, or capital markets).
- Language Proficiency: Fluent written and spoken English and Cantonese is mandatory for effective communication with internal and international stakeholders.
- Proactive Mindset: A demonstrable history of being proactive and taking initiative—not just order-following.
- Professionalism: Exceptional concern for common sense, business acumen, and sophisticated client etiquette.
- Skills: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent organizational, time-management, and multitasking abilities.
- Discretion: Proven ability to handle highly confidential information with the utmost integrity and discretion.
