- Coordinate complex schedules for the executive across multiple time zones, managing bookings and rescheduling.
- Assist in meeting preparation by compiling detailed agendas and necessary documentation.
- Facilitate seamless meeting room arrangements, including space coordination and organising refreshments.
- Manage end-to-end travel logistics, including flights, accommodation, ground transportation, and concise itineraries.
- Monitor executive inboxes, flagging urgent priorities and drafting professional correspondence.
- Perform core administrative tasks such as filing, scanning, and managing office supply inventories.
- Collaborate with the HRA team to support general administration and facilitate company-wide activities.
- Execute ad hoc projects and tasks as assigned by the Head of Department.
skills & experience required.
- Bachelor’s degree or an equivalent professional qualification.
- Minimum 3-5 years of administrative experience, preferably within the finance or professional services industry.
- Prior experience working for a large-scale or reputable global organisation is highly preferred.
- Strong customer service orientation with a focus on delivering high-quality internal support.
- professional fluency in English, Cantonese, and Mandarin (written and verbal).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Proven ability to handle sensitive and confidential information with absolute discretion.
- A proactive team player with a positive attitude and the ability to work under pressure.
