Working closely with the Executive Assistants and Office Manager, the team environment is supportive, fast-paced, and professional, ensuring that the daily operations of this top-tier hedge fund run without interruption.

- Manage front-of-house reception duties, including greeting VIP guests and handling professional enquiries.
- Oversee office aesthetics, ensuring the guest waiting area, meeting rooms, and pantry remain presentable at all times.
- Provide comprehensive travel support, including complex flight bookings, hotel reservations, and visa applications, for a team of Managing Directors.
- Coordinate expense filing and reimbursement processes for the investment team.
- Manage meeting room allocations and facilitate technical set-ups for Zoom and hybrid meetings.
- Handle all incoming/outgoing mail and courier services.
- Monitor and replenish office supplies, groceries, and stationery.
- Liaise with external vendors for office maintenance and facility repairs.
- Organise monthly staff lunches and internal company social events.
- Provide general administrative support, including document scanning and binding.
skills & experience required.
- Minimum 5 years of relevant experience in administration or secretarial support, ideally within the finance or asset management industry.
- Good command of spoken and written English, Cantonese, and Mandarin is essential for stakeholder management.
- Proficiency in Microsoft Office Suite (Outlook, Word, and Excel).
- Knowledge of SAP Concur is highly regarded and considered a distinct advantage.
- Excellent interpersonal skills with a positive, team-oriented attitude.
- Highly organised with a meticulous eye for detail and the ability to multitask in a busy environment.
