About the Job
As an Administrative Assistant, you will ensure the smooth day-to-day operations of the team. Your responsibilities include:
...- Calendar & Meeting Coordination: Manage team calendars, book meeting rooms, and coordinate conference calls across time zones.
- Travel Logistics: Arrange domestic and international travel itineraries, including flights, hotels, and visa processing.
- Expense Management: Prepare, process, and reconcile monthly expense reports accurately and on time.
- Office Support: Handle phone coverage, greet guests, and assist in organizing team events or high-profile meetings.
- Workflow Support: Assist investment professionals with document formatting and general administrative tasks to improve team efficiency.
- Ad-hoc Support: Provide occasional personal assistant support (e.g., private reservations) and assist with general office maintenance.
- Compliance: Ensure all activities remain in line with internal policies and SFC regulatory standards.
Skills & Experience Required
- Requirements: Bachelor's degree and 3–5 years of administrative or team secretarial experience.
- experience: Candidates from MNCs or professional services are highly encouraged to apply.
- Language: Fluency in English, Cantonese, and Mandarin is essential for interacting with regional stakeholders.
- Mindset: A "can-do" attitude with a strong sense of responsibility and meticulous attention to detail.
- Technical Skills: Proficient in Microsoft Office (Outlook, Word, and Excel).
- Professionalism: Ability to handle confidential data with total discretion and thrive in a fast-paced environment.
