Provide general administrative support, including courier arrangements, procurement, and managing office supplies. You'll also handle office maintenance, filing, door access systems, and coordinating renovations.
Manage vendors and suppliers, which involves sourcing, negotiating pricing, and arranging contracts. Secure at least two quotes for every contract, and three for those over €50k.
Review and manage contracts and agreements with vendors and service providers. Appoint new ones as needed.
Coordinate fire drills and other occupational safety measures for the office.
Perform clerical and documentary work to support the company’s daily operations.
Prepare payment vouchers and input invoices into the system.
Book flights, hotels, and ground transportation for staff and visitors.
Oversee and ensure the office remains clean and tidy.
Coordinate and organize company activities and events.
Complete any other ad-hoc duties assigned by your manager.
A higher diploma or equivalent is preferred.
At least 2 years of experience in all-round office administration is required.
Must be proficient in MS Word, Excel, and PowerPoint, as well as Chinese writing.
Immediate availability is preferred.
