Our client is seeking a highly organized and professional individual to join their team as an Executive Assistant, specializing in external event administration. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

... - Assist in the planning and coordination of external events, including conferences, seminars, workshops, and networking events.
- Manage event logistics, including venue selection, catering arrangements, audio-visual equipment, and accommodation for speakers or participants.
- Coordinate event registration processes, including creating and managing attendee lists, sending invitations, and tracking RSVPs.
- Prepare event materials, such as agendas, presentation slides, name badges, and promotional items.
- Liaise with internal and external stakeholders, including event speakers, sponsors, vendors, and venue staff, to ensure smooth event execution.
- Assist with budget management, including tracking event expenses and processing invoices.
- Provide on-site support during events, including registration check-ins, managing event flow, and addressing participant inquiries or issues.
- Conduct post-event evaluations and prepare reports summarizing event outcomes and participant feedback.
- Maintain accurate event records and databases, ensuring data integrity and compliance with privacy regulations.

- Bachelor's degree any field.
- Proven experience in event coordination and administration, preferably in a professional services or legal environment.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent attention to detail, ensuring accuracy and quality in event preparations.
- Effective communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels.
- Proficiency in using event management software, databases, and Microsoft Office Suite.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Professionalism, discretion, and the ability to handle confidential information with utmost sensitivity.
- Flexibility to work occasional evenings or weekends, as required by event schedules.
