about the job

This roles requires a strong administrator with an interest in HR to support the contracting team and the contracting supervisor. This team supports high volume contracting solutions and also providing wide ranging support to reception of a thriving recruitment agency.

You will act as a administrative support point for the contracting team to ensure that throughout the contractor lifecycle from onboarding to offboarding is a smooth and efficient process. In addition to this, you will provide reception cover at allocated times.

Other accountabilities include:



* Maintenance of personnel files for contractors


* Benefits administration - mailing out the medical card and forms, MPF administration

* Timesheet reconciliations

* Client account support : Ensure time sheets all approved and accounted for and downloading of the monthly timesheets as with a reminder for candidates to submit their timesheets.

* Assist with leave encashment & expenses claims; and maintain the employee leave record

* Preparing the details of the excel booking forms and medical enrollment

* Ensure accurate data entry into active client lists

* Following up on contractors return of their required internal compliance documents and client invoice


Reception coverage for allocated times.



* This will include answering calls and taking messages
* Ensuring meeting rooms are well managed and candidates and clients are greeted.
* Inform staff of candidates arrive and show them to the meeting rooms
* Invoicing - arrange the mail out of invoices
* Assist with other admin support duties e.g. drafting of documents, checking of reports
