Our client, buy side financial institution firm based in Central, is looking for talented person to join their HR team as a receptionist.


  • Answer, screen and direct all incoming calls in a professional manner. Take and relay messages and provide information to callers, if appropriate
  • Master the Reception area. Tidy and maintain the reception area, at all times
  • Greet, receive and direct guests on their arrival at the Reception Counter
  • Act as a backup for servicing tea/coffee when tea lady is not around or on leave
  • Monitor visitor access and maintain security awareness
  • Organize conference and meeting rooms bookings
  • Co-ordinate meetings such as setting up video conference calls and connecting projector to PC
  • Receive and sort mail/couriers and deliveries. Handle all outgoing mails/couriers (local & overseas)
  • Responsible for office supplies such as stationeries, office plants, newspapers, company chops, toners, prepare monthly copiers meter usage report, and arrange name card printing
  • Scan invoices e.g. office rental, electricity and company cars related expenses, etc, and pass them to Finance for arranging payments on a timely manner
  • Consolidate and submit monthly and ad hoc staff privileges order
  • Sort out incoming fax from the general fax line
  • Update the master records for door/cabinets/toilet keys and distribute keys to employees
  • Contact vendors and arrange regular cleaning services for office floor, grease tank, carpet, computers, telephones and prepare cleaning schedule for duty roster
  • Report any maintenance issues immediately to your supervisor, including lightings, furniture, fittings and equipment. Follow up on the replacement and maintenance issues regularly
  • Maintain a master record of (and renew) office machine warranties and maintenance agreements.
  • Responsible for festival decoration e.g. Christmas and Chinese New Year in the Reception area
  • Maintain the service providers list up to date and provide any reports, as and when required
  • Others ad-hoc project as assigned by supervisor


  • Diploma or above with at least 2 years office experience
  • Excellent service attitude and warm, friendly and professional telephone manner
  • Good interpersonal and listening skills
  • Pleasant personality, attentive to details and be a good team player
  • Good command of spoken English, Mandarin and Cantonese
