- Working closely with the Managing Director to assist in all aspects of their daily work routine.
- Managing the MD's calendar, which involves scheduling meetings, appointments, speaking engagements, and making travel arrangements, both domestic and international. Exercising discretion in time commitments and assessing needs.
- Serving as the primary point of contact between executives and internal or external associates.
- Coordinating online and offline meetings, ensuring smooth organization, including arranging meeting rooms, conducting pre-tests, and managing all itinerary arrangements.
- Maintaining the current filing and database system while seeking opportunities to enhance existing systems.
- Generating reports and presentations as needed.
- Sourcing and procuring materials or goods requested by the MD and/or line manager, and overseeing packing and logistics coordination.
- Collaborating with various agents or brokers to gather essential information such as visa requirements, entry regulations, citizenship or residency guidelines, and basic tax obligations for specified locations.
- Preparing, reconciling, and submitting expense reports.
- Undertaking a variety of special projects as assigned by the MD or other executives.
- Handling secretarial and administrative tasks related to business and personal matters, including matters concerning vehicles and accommodations.
- Providing support for office administration.
- Performing other additional and/or alternative duties as directed by the MD and line managers as needed.
skills & experiences required.
- Bachelor's degree in a relevant field.
- Proven experience as an Executive Assistant or similar role.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Discretion and confidentiality in handling sensitive information.
- Proficiency in Microsoft Office suite.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with a proactive approach to problem-solving.
- Flexibility to adapt to changing priorities and work outside regular hours when necessary.
